Once you begin creating a knowledge base, one of the first questions you will generally ask yourself is how information should be organized and structured.

Question and Answer Should it simply be a lengthy list of articles and hope your users find the one they are looking for by scrolling down a few pages?

Or would it make more sense to organize the content into topics by category?

Yes, we know this is a trick question, but it is a valid one. Categories are how articles are organized when using GoGoWorx, with each category generally referring to a common topic or context.

Define Meaningful Categories


So how do you determine what a meaningful category is to your readers? That's really the true question here that needs to be addressed.

Fortunately, after you have created categories in GoGoWorx, they can easily be renamed and moved around as needed, so all you need to do at the beginning is to think about some initial categories and work from there. By way of example, you might be writing your knowledge base to support customers' needs for a bakery, in which case you might have different styles of goods they can buy, like this:

  • Breads
  • Sandwiches
  • Sweet Treats
  • Salads
  • Drinks

You could then start creating articles within these categories.


Reorganize Any Time


If you later find that Sweet Treats is too broad a category to contain all of your products, you might want to split that up into more specialized categories that offer more specific context, such as Cookies , Doughnuts , Cakes and Tarts .

These new categories can either be created beneath " Sweet Treats " as sub-categories, or they can become their own " root " categories that are visible at the base level. That decision is up to you; however, you should try to limit the number of parent categories you create, otherwise you might end up having a long list for your users to work through again.

You wouldn't need to rewrite any of your articles - simply drag and drop them into the appropriate new categories from within the Articles page.


Limit Articles in Categories


Another important thing to bear in mind is that you should limit the number of articles within each category. There is no technical limitation to the number of articles you assign to a given category, however from a navigational point of view, having too many articles in a single category can be overwhelming and difficult to work with from a reader's or user's perspective.

Certainly there may be some instances where it may make sense to include many articles within a single category, so example if you have a lengthy list of products or items to describe in a category that is difficult to sub-divide, however those would be uncommon. It is better to break articles into their own contextual sub-categories whenever possible.
